Getting started
What kind of events do you plan?
Everything from Greek life tabs, mixers, formals, travel weekends, artist parties, rush events, and parents weekends to corporate parties, holiday parties, birthdays, graduations, reunions, and catering and mimosa bars.
Why choose Event Experts over planning it ourselves?
We've planned thousands of events, so we know which venues, hotels, and vendors deliver. We handle the contract negotiations, secure the best rates and extras for you, and bring a full crew on event night, so you can actually enjoy it.
How far in advance should we start planning?
For travel weekends and large events, 6 to 12 months gives you the best options for venues and hotels. For parties and corporate events, a few weeks is often plenty. Either way, reach out early and we'll tell you what's possible.
Pricing & payment
How much does it cost?
Every event is custom, so pricing depends on your group size, date, and what you need. Tell us your budget and we'll show you what's possible, with a clear quote before you commit to anything. If we're not the right fit, we'll point you in the right direction.
How does payment work?
We accept all forms of payment, including check, ACH, wire transfer, credit card, and Zelle. Some venues and hotels require a small deposit to lock in your date, and we follow each property's requirements. Payment in full is due before the event date.
Can you invoice our company?
Yes. We invoice companies directly.
Planning & changes
Can you customize the event to our group?
Absolutely. Your input shapes everything, from special requests and unique ideas to your group's traditions. We start with a conversation about your vision and build the event around it.
What if we need to change our plans or cancel?
Plans change, and we'll always work with you to adjust where we can. Cancellation terms are spelled out in your agreement.
Safety & bar service
How do you keep everyone safe?
Safety comes first. We work with licensed and insured partners and secure venues, and our team provides 24/7 support during your event to handle any issue quickly.
Do you help with risk management and university event policies?
Yes. We only work with licensed and insured partners, and Event Experts carries its own umbrella insurance policy. We work directly with every chapter to make sure everything needed to stay compliant is in place.
Do you provide licensed bartenders and handle alcohol service?
Yes. All of our bartenders are TABC certified. When your event calls for it, alcohol is provided through a licensed partner, either your venue or our catering partner, so you still get 100% turnkey bar service.
Venues & hotels
What if we only need help with a venue or hotel?
We're flexible. If you just need help finding the right hotel or venue, we can often do it at no extra cost to you, thanks to our relationships with many properties. If you're having trouble locking in a venue, we can help.
Can you host at our office or a venue we already booked?
Yes. We love working in offices and warehouses, and we're happy to work with any venue you've already booked.
